How to register on the Central Supplier Database (CSD) in South Africa

If you want to supply South African government buyers, the Central Supplier Database (CSD) is an important preparation step. It stores supplier information for organs of state and verifies information against other institutions. Registration is not the same as winning a contract, and it does not replace the instructions in a particular tender pack.

The official CSD process has two stages: create a user account, then complete and submit a supplier profile. Here is a checklist you can use before you start searching for opportunities.

Before you open the form

According to the CSD registration process, you may need a working email address and cellphone for activation and one-time pins; business or other supplier identification; contact and address details; relevant industry classifications and commodities; and, where applicable, banking, tax, directors, accreditation and B-BBEE information. What applies depends on your supplier type. Keep the information consistent with the underlying records rather than copying it from an old bid.

Stage 1: create and activate a user account

1. Use the official CSD registration page to create your user profile.
2. Open the account-activation email and follow its link.
3. Request and enter the cellphone OTP when the CSD prompts you.

The user account lets you maintain supplier information; it is not yet a submitted supplier profile. If an email or OTP does not arrive, use the CSD help and contact links rather than entering your details on a lookalike site.

Stage 2: add and submit the supplier

1. Log in and choose Supplier Details, then Add Supplier.
2. Complete the identification details and every applicable section, including contacts, address, tax, directors, commodities and delivery locations.
3. Review the Overview tab for outstanding information.
4. Click Submit. Saving a partially completed profile is not the final submission step.

Commodities and delivery locations deserve care: the CSD says buyers use them when looking for suppliers. If you can only deliver in certain provinces, enter those areas accurately. The CSD also says bank verification can take up to four days, so do not leave relevant bank details until the day a bid closes.

How to confirm that registration is complete

The official CSD guidance says completed registration results in a supplier number and a 36-digit Unique Registration Reference Number. It explains how to obtain a registration report from the Report → Registration menu using those identifiers. Check your current report and supplier status rather than assuming that having a login alone is proof of registration.

What to do when you find a tender

Read the actual notice and attachments. A buyer may ask for additional forms, experience, a compulsory briefing or industry-specific registration.
